How to manage classes with Wonde

Integrating Educake with your MIS using Wonde

Wonde is software that links your MIS (management information system) with Educake. It sends information to Educake so we can keep your classes and student accounts up to date for you automatically - no more spreadsheet imports!

How to set up Wonde

  1. Log in to Educake and click "Manage Classes with Wonde". Follow the instructions on the page to send a Wonde request to your school. You'll need to give contact details for someone at your school who manages Wonde if it's not you. This is so we can send them instructions on how to approve the request.

  2. Log in to Wonde and approve the request. You can also adjust the permissions you give Educake at this point, using Wonde's Access Control.

  3. Return to the "Manage Classes with Wonde" page in Educake. Make sure we've correctly mapped the subjects you've got listed in your MIS to the subjects that are listed in Educake, and choose which classes you'd like to sync with Educake. The page will walk you through how to do this in steps 2 and 3.

  4. In step 4, map any classes that you already had in Educake to the classes in your MIS. Educake will map as many of these as possible automatically, but if there are any that we weren't able to map, you'll see a "Map X Educake classes" button. If you didn't have any classes in Educake, you'll see a green tick right away and you won't need to do this step.

  5. In step 5, map any students that you already had in Educake to the students in your MIS. Again, Educake will map as many as possible automatically, but there might be some that we need you to look over. In this case you'll see a "Map X Educake students" button. If you didn't have any students in Educake, you'll see a green tick right away and you won't need to do this step.

  6. Click "Start syncing" in step 6 to begin syncing. Educake won't sync your MIS data until you've done this.

  7. (optional) On the "Manage Classes with Wonde" page, use step 7 to review and clean up any Educake student accounts that we couldn't find in Wonde (for example, students who left your school).

What information does Wonde send to Educake?

Your school can choose which information to share with Educake in Access Controls in Wonde. Here's an overview:

Educake will automatically update your students and classes

Educake will update every night

Every night, Educake will check Wonde for updates to your students and classes. If you'd like Educake to sync with Wonde before then, you can go to the "Manage Classes with Wonde" page, step 6, and click the "Sync <subject> now" button.

Educake will then update any student details that have changed, including which classes they're in.

Educake will create accounts for any new students

If you've added any students to your MIS since the last sync, Educake will create accounts for them. You can give new students their login details in a few different ways:

  • at the top of step 6, you can choose to automatically send an email to any new student with their username and a link to set a password

  • in "View sync history" in step 6, you can download a PDF of login details to print on sticky labels and hand out. You can also download their username and temporary password if you'd like to send them their details another way.

Educake will delete any students you've deleted in your MIS

If your school deletes a student in your MIS, Educake will delete their Educake account.

If your school decides to stop syncing a student with Educake, their account will stay in Educake but it won't receive Wonde updates anymore. From then on, you can manage their account using Manage Students, Classes and Years in Educake.

You can still set up intervention groups in Educake

You can still set up groups of students in Educake even if there isn't a class for them in your MIS. For example, you can create an intervention group in Manage Students, Classes and Years, and move students into it. This won't affect Wonde or the information in your MIS.
